If you aren’t yet using cloud CRM and ERP software, ask yourself: Does your business have a clear strategy? Do your employees know what it is? Did they help you decide on that strategy? Do they believe in it?
If any those questions made you feel uncomfortable, then it means you haven’t developed the habit of communicating properly with your staff. It also means you need to read on: Whether your business is located in the Philippines, Singapore, Bangladesh or elsewhere, this message is for you.
Habits can be changed, but you have to take the first step. As Mark Twain once wrote: “The secret of getting ahead is getting started.” If you delay and delay on important issues like deciding on the specific direction of your company, soon your business will have bigger problems than just communication. It will have management that is unable to improve itself, or solve its own problems.
Here’s how to find your company’s direction. Organize a meeting and make sure everyone in the company attends. (If it’s a large company, then have this meeting with the managers first, and then meet with individual departments.)
Ask your employees what the company stands for. Ask them what they want it to stand for. And listen – really listen – to those answers. Take their answers and combine them with yours. Together, they will identify what your company is, and what it wants to be.
Next, with everyone participating in small groups, make a plan. How are you going to move forward to become the company that you all want to be? Make sure all answers are specific. Make a plan for the next 90 days, and another plan for the next year. Make a final plan for the next 5 years. If these plans are made clear, then everybody in the company will finally be able to look towards the same goals.
It’s important for everybody to have the same vision, but it’s just as important to make sure everyone makes progress toward that vision – and that’s where a dependable, innovative cloud CRM system comes in. By having your office use a strong all-in-one CRM system, you can keep everyone on the same page, sharing data and processing orders quickly.
Combine these technical improvements with a strong, employee-centered approach to working. Set a regular meeting, once per week. Everyone must come, and report on what they have accomplished. You should also come prepared with data from your office’s sales team application system.
When you are all together, compare their accomplishments with their original goal for that week, and discuss, in a supportive manner, possible ways to achieve more in the future if they aren’t moving fast enough.
Always encourage people to come up with new ideas, even if the ideas aren’t related to their own department, and even if those ideas are suggestions for how management could do their jobs better.
(If you believe that your own leadership is perfect and can’t benefit from new ideas, then, once again, your staff is unfortunately stuck with “management that is unable to improve itself, or solve its own problems.”)
Reward good team spirit, and good effort. Not everyone can produce a winning result every time, but it’s the effort that should count. Soon you will find that your old office, which had no direction and no special motivation, has been replaced by a new office that knows what it is doing and feels involved in the process. Just remember that communication must go in both directions if it is going to work.
Essential to this process is the need to clearly measure your company’s progress, and the work that each one of your employees has done.
